Here at the South West Educational Psychology Practice we take your privacy seriously and will only use your personal information to respond to any questions you may have and to provide the products and services you have requested from us. The nature of our services means that we will collect both personal and sensitive data.  We collect information at the point of initial contact (which might be email, website contact page or phone call) as well as during the referral process and at any subsequent appointments or assessment visits.

We sometimes need to share the personal information we process with the individual themself and also with other organisations.   • supervisors.  As Psychologists we have regular supervision with other qualified psychologists and professionals. Supervision is for our practice to ensure we are adhering to professional standards and evidence based ways of working.
  • emergencies. If your health is in jeopardy we may share your contact information with an emergency healthcare service (e.g. Mental Health Crisis Team). If we have become aware of your imminent intent to cause serious harm to yourself, another person or organisation (e.g. terrorism) our professional codes of conduct and the law may require that we inform an authority without seeking your permission. In such a situation, the law may require that we share your personal information without your knowledge (known as whistle-blowing)

Contact form
When you contact us using our contact form, you will be voluntarily providing us with your personal information. The information you enter in the contact form is encrypted, as you can see from the padlock icon in the address bar of your browser, and is sent to us by email.

How long we retain your data

Information Storage

We have implemented technical measures to ensure your personal and sensitive data remains secure. When we have finished working together, we will hold onto your personal information in line with our professional code of practice. After this time has passed we will shred the written information and securely delete any electronically held information.

Your information may be stored in the following ways;

  • Paper; written notes which will include the initial email you sent or website contact sheet, contracts, assessment records, notes, referral documents, client references and any other relevant documents.
  • Mobile Phone;
  • Email/SMS/; your email address and correspondence may be stored in our email account by nature of you contacting us. Your telephone number may be stored in SMS should you exchange messages this way. Electronic correspondence will also be held by the corresponding app (Email, Phone’s SMS).
  • Website; none of your personal information is stored on our website, other that to momentarily collect and send it to an email account for the purpose of making initial contact.
  • Skype session recordings;
